As our company scaled globally, our internal knowledge became increasingly siloed. <\/span>\n\n<i><span style=\"font-weight: 400;\">This hurt our ability to communicate effectively and synchronize goals cross-company. <\/span><\/i>\n\n<span style=\"font-weight: 400;\">For large organizations, knowledge sharing redundancies not only cause technical gaps and internal misalignments but also take a huge toll on the <a href=\"https:\/\/www.walkme.com\/blog\/comics-digital-blues\/\" target=\"_blank\" rel=\"noopener noreferrer\">employee experience<\/a>. It goes beyond individual productivity, affecting the performance of <\/span><i><span style=\"font-weight: 400;\">every, single department\u00a0<\/span><\/i><span style=\"font-weight: 400;\">from Marketing to Support. <\/span>\n<h4 style=\"text-align: center;\"><strong><a href=\"https:\/\/www.walkme.com\/pages\/adoption-corporate-1-ensure-successful\/?eco=digitaltr&amp;adin=knowledge-management-part-1-ll01&amp;land=adoption-corporate-1-ensure-successful&amp;pitch=Adoption-Promotion\" target=\"_blank\" rel=\"noopener\"><i>Discover how WalkMe can boost employee experience and productivity.<\/i><\/a><\/strong><\/h4>\n<h2><span style=\"font-weight: 400;\">The Solution: A Knowledge Consolidation Project<\/span><\/h2>\n<span style=\"font-weight: 400;\">We needed to get all of WalkMe on <\/span><i><span style=\"font-weight: 400;\">one page<\/span><\/i><span style=\"font-weight: 400;\"> and develop a practical knowledge management system to take us forward.<\/span>\n\n<img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-4178 size-full\" src=\"https:\/\/www.walkme.com\/blog\/wp-content\/uploads\/sites\/2\/2018\/03\/rawpixel-com-586687-unsplash-2.jpg\" alt=\"knowledge management system\" width=\"1200\" height=\"583\" srcset=\"https:\/\/www.walkme.com\/blog\/wp-content\/uploads\/sites\/2\/2018\/03\/rawpixel-com-586687-unsplash-2.jpg 1200w, https:\/\/www.walkme.com\/blog\/wp-content\/uploads\/sites\/2\/2018\/03\/rawpixel-com-586687-unsplash-2.jpg?resize=300,146 300w, https:\/\/www.walkme.com\/blog\/wp-content\/uploads\/sites\/2\/2018\/03\/rawpixel-com-586687-unsplash-2.jpg?resize=1024,497 1024w, https:\/\/www.walkme.com\/blog\/wp-content\/uploads\/sites\/2\/2018\/03\/rawpixel-com-586687-unsplash-2.jpg?resize=740,360 740w\" sizes=\"auto, (max-width: 1200px) 100vw, 1200px\" \/>\n\n<span style=\"font-weight: 400;\">To do this we launched a project which would: <\/span>\n<ol>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Consolidate all existing WalkMe knowledge bases and content into<\/span><b> one knowledge base. <\/b><\/li>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Onboard the entire company to a <\/span><b>standardized<\/b><span style=\"font-weight: 400;\"> way of accessing, creating and sharing information.<\/span><\/li>\n<\/ol>\n<h3><span style=\"font-weight: 400;\">The benefits of using one central knowledge management software<\/span><\/h3>\n<ul>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Reduced overall knowledge management costs <\/span><\/li>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Consistency in processes and conventions<\/span><\/li>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Cross-organizational alignment<\/span><\/li>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Prevention of knowledge gaps <\/span><\/li>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Enhanced communication and unified messaging (same terminology) <\/span><\/li>\n<\/ul>\n<span style=\"font-weight: 400;\">In this article, I will review how to successfully prepare for your content management consolidation project.\u00a0<\/span>\n\n<span style=\"font-weight: 400;\">So in the name of sharing knowledge, here are the best practices I learned from managing this project: <\/span>\n<h2><span style=\"font-weight: 400;\">Step 1: Define knowledge management success<\/span><\/h2>\n<span style=\"font-weight: 400;\">Take a moment before launching a large-scale project of this kind to examine the needs of your organization. <\/span>\n\n<b>What pain point is this project aiming to solve?<\/b><span style=\"font-weight: 400;\"> To create unified messaging? To boost agility and communication? To streamline processes across departments? <\/span>\n\n<span style=\"font-weight: 400;\">Define your objectives and make these the core of your <a href=\"https:\/\/www.walkme.com\/blog\/strategy-business-agility\/\" target=\"_blank\" rel=\"noopener noreferrer\">strategy<\/a>. Craft a knowledge management strategy that suits your specific needs. Without a clear vision and strong backing from upper management, you\u2019ll find yourself chasing after people who consistently de-prioritize your requests. <\/span>\n\n<span style=\"font-weight: 400;\">Before you begin, the ROI and value of this effort should be clear to everyone involved. KPIs should be set across the organization to ensure responsibility is distributed and all parties are all on board. <\/span>\n\n<span style=\"font-weight: 400;\">In addition, <\/span><b>you will need to recruit relevant individuals from each department who will \u201cown\u201d the project locally.<\/b><span style=\"font-weight: 400;\"> These stakeholders will be instrumental in understanding each department\u2019s needs, evaluating their content, and creating excitement among their colleagues. <\/span>\n<h2><span style=\"font-weight: 400;\">Step 3: Map out existing knowledge<\/span><\/h2>\n<span style=\"font-weight: 400;\">Let\u2019s say you are moving into a new apartment with your significant other for the first time. You\u2019ll need to evaluate the items each person owns in order to decide what to bring into your new home. <\/span>\n\n<span style=\"font-weight: 400;\">For example, you don\u2019t need two washing machines. On the other hand, you might find that neither of you owns a decent bed frame or that the upholstery on your furniture doesn\u2019t match colors of the new apartment. Comb through the current knowledge base software and take note of the following: \u00a0<\/span>\n<ul>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Duplicated content <\/span><\/li>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Articles that are out of date <\/span><\/li>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Articles that use different terminology to describe the same message <\/span><\/li>\n \t<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Any unnecessary or useless content <\/span><\/li>\n<\/ul>\n<span style=\"font-weight: 400;\">Local owners of knowledge within each department should be closely involved with this process.\u00a0<\/span>\n<h2><span style=\"font-weight: 400;\">Step 4: Decide whether you will combine external and internal knowledge management <\/span><\/h2>\n<span style=\"font-weight: 400;\">I could write an entire post about the pros and cons of combining separate verses conjoined knowledge bases for customers, partners, and employees. <\/span>\n\n<span style=\"font-weight: 400;\">If I had to summarize, I would say that having a single knowledge base is best practice as it helps align internal and external communication.<\/span>\n\n<span style=\"font-weight: 400;\">However, doing so adds a layer of complexity to the project that must be taken into account. You will need to keep this in mind throughout the duration of the project from template creation to permission segmentation, designing an end-to-end flow with <\/span><a href=\"https:\/\/www.walkme.com\/pages\/cx-corporate-1-provide-the-ultimate-experience-cartoon\/?eco=digitaltr&amp;adin=knowledge-management-part-1-al01&amp;land=adoption-corporate-1-ensure-successful&amp;pitch=Customer-Care\" rel=\"\"><span style=\"font-weight: 400;\">a consumer-friendly user experience. <\/span><\/a>\n\n<img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-4182 size-full\" src=\"https:\/\/www.walkme.com\/blog\/wp-content\/uploads\/sites\/2\/2018\/03\/rawpixel-com-579246-unsplash-2.jpg\" alt=\"knowledge management  template\" width=\"1200\" height=\"583\" srcset=\"https:\/\/www.walkme.com\/blog\/wp-content\/uploads\/sites\/2\/2018\/03\/rawpixel-com-579246-unsplash-2.jpg 1200w, https:\/\/www.walkme.com\/blog\/wp-content\/uploads\/sites\/2\/2018\/03\/rawpixel-com-579246-unsplash-2.jpg?resize=300,146 300w, https:\/\/www.walkme.com\/blog\/wp-content\/uploads\/sites\/2\/2018\/03\/rawpixel-com-579246-unsplash-2.jpg?resize=1024,497 1024w, https:\/\/www.walkme.com\/blog\/wp-content\/uploads\/sites\/2\/2018\/03\/rawpixel-com-579246-unsplash-2.jpg?resize=740,360 740w\" sizes=\"auto, (max-width: 1200px) 100vw, 1200px\" \/>\n<h2><span style=\"font-weight: 400;\">Step 5: Define terminology and templates <\/span><\/h2>\n<span style=\"font-weight: 400;\">Part of content management consolidation is creating a unified language that is used across the organization regardless of the subject matter. <\/span>\n\n<b>This means similar documents must share the same structure and logic.<\/b><span style=\"font-weight: 400;\">The idea is that each template will be used for all articles of that document type regardless of the author and when it is written.<\/span>\n\n<span style=\"font-weight: 400;\">Doing so will make sure content is not only accessible but <\/span><i><span style=\"font-weight: 400;\">understandable<\/span><\/i><span style=\"font-weight: 400;\"> to any individual within the organization. <\/span>\n\n<span style=\"font-weight: 400;\">This groundwork will set the stage not only for stronger communication but also better collaboration between departments.<\/span>\n<h2><span style=\"font-weight: 400;\">Step 6: Specify features and use-cases<\/span><\/h2>\n<span style=\"font-weight: 400;\">As with any technology, the user experience will influence the way users interact with the knowledge base software. Who can edit? Who needs to approve changes? <\/span><\/li>\n \t<li style=\"font-weight: 400;\"><b>Mixed media: <\/b><span style=\"font-weight: 400;\">What formats are supported (hyperlinks, images, videos, drawing tools, calendars)? <\/span><\/li>\n \t<li style=\"font-weight: 400;\"><b>Comments: <\/b><span style=\"font-weight: 400;\">How will users interact with each other on the platform? For example, we found the ability to tag fellow users helped us drive engagement and ensured the conversations stayed on the platform.<\/span><\/li>\n \t<li style=\"font-weight: 400;\"><b>Third-party applications: <span style=\"font-weight: 400;\">What additional software will you need to integrate (product management tools, Salesforce, etc.)? \u00a0<\/span><\/b><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h2><span style=\"font-weight: 400;\">Step 7: Choose a knowledge base software<\/span><\/h2>\n<span style=\"font-weight: 400;\">Now that you know what you need, it is time to go shopping. <\/span>\n\n<span style=\"font-weight: 400;\">The knowledge base <a href=\"https:\/\/www.walkme.com\/blog\/choosing-business-software\/\" target=\"_blank\" rel=\"noopener noreferrer\">software you choose<\/a> will play a huge role in the ongoing success of any content management consolidation project.
